Vendor Load-in
Venue: oneC1TY (Use “8 City Blvd Nashville, TN 37209” for most accurate load-in location)
This season’s event will take place in the parking lot at the corner of Charlotte Ave and City Ave.
BOOTH LOCATIONS are based off if you have requested access to power, and have been thoughtfully selected, so no two-like vendors are directly next to each other (jewelry, home goods, etc). This is based on what you submitted as your Primary Category when registering, so keep that in mind! If you have concerns about your booth location, you’re welcome to reach out, but please understand changes are not guaranteed.
LOAD-IN TIMES are determined using a randomized selection as to have no more than 10 vendors loading in at the same time per load-in area. All vendors will enter via the entrance on City Ave. and proceed to one of three loading areas — A, B and C. Please see map linked below for a view of the loading areas. The load-in process will be very busy, so we ask that you PLEASE use the zone assigned to you.
IMPORTANT: When using load-in areas, it is very important that you park your vehicle in a designated parking spot to allow for others to get by. Let’s not trap each other in and create a game of Tetris! There will be ~80 vendors trying to load-in at the same time, and loading area space is limited. To avoid congestion, please quickly unload your items to your booth space. Then, park your vehicle in the designated parking area (see below) and then return to bring your items to your booth and set up. You must provide your own personnel and equipment for load-in and display set-up (including hand trucks, carts, dollies, etc.).
SATURDAY 4/12 LOAD IN
Vendors will be assigned a load-in time, staggered between 7AM and 8:30AM. All vendors must be set and ready to go by 9:45 AM for a 10:00 AM event start time. Please reference the load-in schedule and maps to find your load in time, booth number and load-in zone. It is very important that all vendors and sponsors arrive at their scheduled load-in time and know your booth number and which zone you are in! This will allow for a painless process for all.
OVERNIGHT DETAILS - Vendors are allowed to leave their setup overnight, ONLY IF you have completed our overnight waiver, and you have tent walls on your booth. Vendors are encouraged to break down their booths to not have any overnight damage that wind may cause, and if you are concerned about any of your products safety overnight, we encourage you to load-out whatever items you wish. We do have overnight security hired, but Crafty Bastards IS NOT LIABLE for any lost, stolen or damaged items overnight (per our waiver you must sign).
If the weather overnight has any concern for high winds, rain, etc we may make the call to have all vendors load-out more extensively to ensure no products are damaged, however this cannot be determined in more than 24 hours in advance. If we do decide to implement a more extensive breakdown plan, our team will communicate that via email.
SUNDAY LOAD-IN — begins at 8AM. We encourage all vendors to return to set up their booths, so everything is set and ready to go no later than 9:45AM. If we have to implement an extensive load-out plan Saturday night, the Sunday load-in plan will follow the same schedule and zone specifics as Saturday AM.
VENDOR LOAD-OUT
SUNDAY LOAD OUT — begins immediately following the event at 4:00 PM. All items must be completely removed by 6:00 PM and cannot stay overnight. This includes all props, materials, and decorations. Anything left behind will be thrown away. Please be mindful of other vendors who are all trying to load out at the same time, and parking spots at load-out will be limited. There will be ~80 vendors trying to load out at the same time, so we ask that you please pack up all of your items BEFORE retrieving your vehicle. This will prevent the load-in areas from getting clogged.

Parking
There is a vendor specific lot for all vendors and event personnel. This lot is FREE! Please be sure to park in the designated lot to a) avoid having to pay and b) provide plenty of parking for attendees. Please do not park in the oneC1TY garage or street parking, this only takes away parking for guests, which makes them annoyed and less likely to spend money with you.
The VENDOR LOT in the Urology Associates parking lot, located next to the volleyball courts at 2801 Charlotte Ave, Nashville, TN 37209. MAP ABOVE!
YOU MUST MOVE YOUR VEHICLE TO THIS LOT AFTER LOAD-IN. You are not able to leave your vehicle parked in the loading areas, as other vendors will need access to this space.
PLEASE BRING:
Everything that you need for your booth space. This includes a tent, REQUIRED tent weights (no stakes), walls for overnight, tables, chairs, décor, goods for sale, a POS system, a wifi hotspot, load in gear, water, etc. If you need to newly order or change your order for a tent, table, and or chairs for your booth space, please email us info@craftybastards.com, and we will do our best to assist.
See TENT WEIGHT REQUIREMENTS
Please plan accordingly and bring appropriate tent weights to the event. See link above for tent weight requirements. There is a strict NO STAKING policy, and any vendors who do not have appropriate tent weights will NOT BE ALLOWED TO SET UP. We will not be able to provide weights for you on the day of the event, so plan ahead!
Please also bring any snacks/food/drinks you would like throughout the day. There are going to be food trucks/vendors onsite as well as a full bar. There are also a handful of restaurants that are located within the oneC1TY community including Sump Coffee, Pastaria, AVO, and more. We do NOT have enough free bottled water for all vendors.
If you need a bathroom break or a food break, let us know, and we can have a volunteer sit in your booth for you and keep an eye on your items while you take a break!
DO NOT BRING:
Do not bring outside alcohol of any kind. Glitter, confetti or the like are not allowed. oneC1TY is pet friendly, but your pet must remain on a leash at all times and must not disturb other vendors or shoppers.
Wi-Fi
WI-FI is not provided by the venue. If you need Wi-Fi for your POS system, you will need to bring a hotspot for this.
Electricity
If you did not request electricity in advance, you will not have it. If you have already requested electricity, please bring extra extension cords and a surge protector. Cords must not cross walkways unless covered by a cord cover or taped down, which you will need to provide.
Signage
Within your booth space, you may put up any signage as you see fit. You will need to provide zip ties or string to attach it to your tent. Also, bring scissors to cut them down after the event. You may also bring your own easels or pop up banners if that’s easier.
Staffing
You are required to have your own staff man your booth.
COI
To protect yourself and your business, all vendors are required to provide a Certificate of Insurance listing FW Publishing (210 12th Ave. South Suite 100, Nashville, TN 37203) as additionally insured with a minimum $500,000 individual/$1,000,000 aggregate coverage.
Tennessee Sales Tax FOR OUT OF STATE VENDORS
Out of state vendors need to add 9.25% sales tax to their sales. This will cover state and local sales tax for goods. In order to do so, click below to download the tax form! You will need our specific promoter ID and location ID which can be found on the middle of Page 2 of the attached.

Misc
Please be mindful of spills and messes, and keep your display area neat. It’s always best practice to return the space the way we found it.
weather
Crafty Bastards is sprinkle or shine — but in the case of SEVERE weather (storms, lightning, high winds, etc) we will make a decision to adjust the time of the event or reschedule. We’ll contact all vendors via email with any updates regarding weather. PLEASE be aware that it may be windy and you must have appropriate tent weights.
Restrooms
Restrooms are located inside the main TOA/Microsoft building and can be accessed through Sump coffee or the main lobby. We will also have portable toilets and handwashing stations located in the Yard.
Tips & Tricks
Past vendors have been kind enough to share the tricks of the road. We’ve compiled them to give you a hand up when preparing for the event. If you have any advice you’d like to pass along, we’d love to hear! Email us at: info@craftybastards.com
The number one tip from vendors– Bring a helper! Load-in and load-out can be difficult and having an assistant can make all the difference. We’ll have volunteers to help, but don’t count on them being available at all times.
